Privacy Policy

How we handle your information and what that means for you

Last updated: October 21, 2025

Look, we get it - privacy policies can be a real snooze-fest. But here at Drakar Valorix, we're pretty serious about keeping your info safe. We've tried to make this as straightforward as possible, cutting through the legal jargon where we can.

We're a Canadian architecture firm based in Toronto, which means we're bound by Canadian privacy laws (PIPEDA, if you're curious). But honestly, we'd protect your data regardless - it's just the right thing to do.

When you reach out to us or use our website, we might collect:

  • Contact details - your name, email, phone number, mailing address. Pretty standard stuff when you're looking to work with an architecture firm.
  • Project info - details about what you're hoping to build, your property specs, budget ranges. We need this to actually help you, y'know?
  • Website data - things like your IP address, browser type, pages you visit. This helps us understand how people use our site and where we can improve.
  • Communication records - emails, phone call notes, meeting summaries. We keep these so we don't lose track of what we've discussed.

We're not in the business of collecting stuff we don't need. If we ask for something, it's because it genuinely helps us serve you better.

Here's what we actually do with your info:

  • Providing our services - creating designs, managing projects, sending you updates. This is the main reason we need your data.
  • Communication - responding to your inquiries, scheduling consultations, following up on proposals. Can't really do our job without talking to you.
  • Improving our work - analyzing what types of projects people are interested in, understanding trends in sustainable design requests.
  • Legal compliance - keeping records for regulatory purposes, protecting our intellectual property, fulfilling contractual obligations.
  • Marketing - but only if you've said it's cool. We might send occasional newsletters about our latest projects or sustainability tips. You can opt out anytime.

We're not selling your data to third parties or doing anything sketchy. That's just not how we operate.

We keep your information pretty close to the chest, but there are a few scenarios where we might share it:

  • Project partners - structural engineers, contractors, consultants who're working on your project. They need certain details to do their part.
  • Service providers - companies that help us run our business, like our cloud storage provider, email service, or project management software. They're bound by strict confidentiality agreements.
  • Legal requirements - if a court order or government authority requires it, or if we need to protect our legal rights.
  • Business transfers - in the unlikely event we sell the firm or merge with another company, your info would be part of that transfer.

Everyone we work with is vetted and required to maintain the same privacy standards we do.

Security's a big deal for us. We've implemented a bunch of measures to keep your data safe:

  • Encryption - data sent between your browser and our servers is encrypted using SSL/TLS protocols.
  • Access controls - only team members who need access to your information for legitimate business purposes can view it.
  • Secure storage - we use reputable, Canadian-based cloud services with strong security protocols.
  • Regular backups - so we don't lose your project details if something goes wrong.
  • Staff training - our team knows the importance of data protection and follows best practices.

That said, no system is 100% bulletproof. We do our best, but there's always some level of risk when transmitting info online.

Under Canadian privacy law, you've got several rights when it comes to your personal information:

  • Access - you can ask us what information we have about you. We'll provide it in a reasonable format.
  • Correction - if something's wrong or outdated, let us know and we'll fix it.
  • Deletion - you can request we delete your data, though we might need to keep some stuff for legal or contractual reasons.
  • Opt-out - don't want marketing emails? No problem. There's an unsubscribe link in every message, or just shoot us an email.
  • Withdraw consent - if you've given us permission to use your data in a certain way, you can take that back anytime.
  • Complain - if you think we've mishandled your information, you can file a complaint with the Privacy Commissioner of Canada.

To exercise any of these rights, just contact us at info@drakarvalorix.info or call us at (416) 555-0147.

Our website uses cookies - those little files that websites store on your device. Here's what we use them for:

  • Essential cookies - these keep the site functioning properly. Without them, things might not work right.
  • Analytics cookies - help us understand how visitors use our site. We use this data to improve the user experience.
  • Preference cookies - remember your settings and choices so you don't have to re-enter them every time.

Most browsers let you control cookies through their settings. You can usually block or delete cookies, though this might affect how well our site works for you.

We don't use cookies for targeted advertising. We're architects, not ad agencies.

We don't keep your information forever - that'd be weird and unnecessary. Here's our general approach:

  • Active projects - we keep all relevant data for the duration of the project and typically 7 years after completion. This is partly for legal reasons and partly because clients sometimes come back years later with questions.
  • Inquiries that didn't go anywhere - we'll keep your initial contact info for about 2 years, in case you decide to reach out again.
  • Marketing data - if you're on our mailing list, we'll keep your info until you unsubscribe or we haven't heard from you in a really long time.
  • Financial records - tax law requires us to keep these for 7 years.

After these periods, we securely delete or anonymize your data. By "securely delete," we mean it's gone for good - not just sitting in some backup somewhere.

Our services aren't directed at anyone under 18. We don't knowingly collect information from kids, and if we somehow end up with a child's data, we'll delete it as soon as we realize.

If you're a parent and think your kid has given us their information, please get in touch so we can sort it out.

We might update this privacy policy from time to time - privacy laws change, our practices evolve, or we might add new services. When we make significant changes, we'll let you know by:

  • Posting the updated policy here with a new "last updated" date
  • Sending an email if you're an active client or on our mailing list
  • Adding a notice on our homepage for a reasonable period

We'd encourage you to check back here occasionally, especially if it's been a while since you've read through this.

The Bottom Line

We're architects who happen to run a website, not a data collection company. Your privacy matters to us because trust matters to us. We collect what we need to do great work for you, we protect it properly, and we're transparent about how we use it. If something in this policy doesn't sit right with you or you've got questions, just reach out - we're real people and we're happy to talk.
